VJLW Property never forgets that it is your tenants’ home and that it is only fitting to care for them properly, helping them to ‘feel at home’. This is not only the right thing to do, but also tenants who feel cared for are more likely to care for your property (reducing maintenance costs) and stay longer (reducing void periods and the costs of remarketing).

VJLW Property develops a personal relationship with your tenants – the person they initially email or call will be the same person who shows them round the property, manages all the admin and carries out ongoing maintenance and management.

In this way VJLW Property gets to know you, your property and your tenants extremely well, so is able to spot and address problems quickly and cost effectively.

Getting your property ready

VJLW Property will help you get your property onto the rental market, guiding you through the legislative maze and working with industry proven specialists to ensure you meet all your legal obligations. VJLW Property will provide this for you as part of your management fees, so you only pay for the products or specialist services you need.

Energy Performance Certificate (EPC) – you are required to hold a valid EPC for your property. You must provide this to prospective tenants prior to the start of the tenancy – if you don’t, you will lose some of your rights as part of the Assured Shorthold Tenancy.

Gas Safety Certificate – if there are any gas appliances (boilers, hobs etc) in your property, you are required have them checked annually by a Gas Safe registered engineer who will produce your Landlord Homeowner Gas Safety Record. You must provide this to prospective tenants prior to the start of the tenancy – if you don’t, you will lose some of your rights as part of the Assured Shorthold Tenancy.

Electrical safety certificate (EICR) – it is mandatory for all rental properties to have an Electrical Installation Condition Report (EICR), which is valid for 5 years. This must be carried out by a NICEIC accredited electrician.

Smoke and carbon monoxide (CO) alarms – you must install smoke alarms on each floor of your property, which must be shown to be working at the start of the tenancy. CO monitors are only mandated in rooms containing an open fire or log burning stove, however it is recommended that you also place CO monitors in all rooms with a gas appliance (boiler, gas heater, gas hob, etc).

Marketing your property

It can be very expensive when a tenant moves out and you need to secure a new tenant. Not only is there often a rental void, but also the costs of marketing and tenant admin can add up.

VJLW Property will market your property and manage new tenant administration on your behalf as part of your management fees, ensuring that costs are kept very affordable.

Online marketing – VJLW Property will market your property online, including listings on Rightmove, Zoopla and Primelocation. There is a small charge for this.

Viewings – VJLW Property will manage all viewings and accompany all prospective tenants to promote the property to them. As the person carrying out the viewing is very familiar with the property, VJLW Property can provide a highly informed and personalised experience for your prospective tenants.

Tenant reference checks – stringent referencing will be carried out by the UK’s largest tenant referencing company. There is a small charge for this.

Moving your tenants in

Tenancy agreement – VJLW Property will produce and manage the signing of an Assured Shorthold Tenancy (AST), which can include additional clauses to address any specific concerns you may have.

Deposit – VJLW Property will lodge your tenant’s deposit with a Government approved scheme.

Inventory and condition report – VJLW Property will arrange for a specialist inventory company to prepare a comprehensive report. This is the only cost, other than the advertising and tenant referencing, that you will bear during marketing and securing a new tenant. This report is extremely valuable should there be any damage to your property or its contents when your tenants move out.

Check-ins/outs – VJLW Property will meet your tenant to welcome them to the property and hand over the keys; and again at the end of the tenancy to collect back all keys and get contact details for return of the deposit / claim for additional costs for damage to the property.

Ongoing management

Rent collection – VJLW Property will ensure that the tenant sets up a monthly standing order, and work with the tenant to resolve any late payment problems, should they occur.

Tenant liaison – VJLW Property will respond rapidly to all enquiries from the tenant, visiting the property to assess the fault prior to sending in a contractor and incurring expensive call out charges on your behalf (except in emergency situations).

Property inspections – VJLW Property will carry out regular inspections of the property. Furthermore, due to the highly proactive nature of management, VJLW Property will be in regular contact with the tenant outside this formal inspection schedule.

Landlord reporting – VJLW Property will ensure you are completely updated with all tenant issues and keep you appraised of how well they are looking after your property.

Repairs – VJLW Property will manage repairs to the property on your behalf, using suitably skilled and experienced tradespeople. Where the damage has been caused by the tenant, VJLW Property will endeavour to secure payment from them to cover the costs.

Tenancy extension – VJLW Property will liaise with yourself and your tenants for the extension or renewal of the tenancy agreement. At this point you can issue a new AST or simply let the tenancy roll on as a Statutory Periodic Tenancy.
